COMMUNICATION PROTOCOL

  1. Primary Coach (Athlete’s Coach)

    • This is the person(s) you should talk to the most!
    • For concerns or questions related to your athlete's training, performance, technique, and progress.
    • To request clarification on training schedules, attendance, or specific drills.
    • To discuss a scheduling conflict.
    • If your athlete is absent from practice and needs to inform the coach about missed sessions or upcoming conflicts.
    • To discuss goals, competition performance, and any individual athlete-related needs.
  2. General Administration (admin@whitehorseglacierbears.ca)

    • For general club-related inquiries or if you’re unsure who to contact.
    • Questions about membership registration, general policies, or club events.
    • To update or change your contact information or athlete’s personal details.
    • If you have questions about upcoming events or schedules that do not require coaching-specific details.
    • Fundraising, Volunteer and Officiating questions
  3. General Finance (finance@whitehorseglacierbears.ca)

    • For inquiries related to your membership fees, billing, or payments.
    • To request receipts or clarify charges and payments.
    • To inquire about refunds or financial statements.
  4. Board of Directors (board@whitehorseglacierbears.ca)

    • For concerns about club policies, governance, or strategic decisions.
    • To raise concerns or suggestions that affect the overall direction or functioning of the club.
    • If you would like to become more involved with the club’s governance or volunteer opportunities.
    • For major issues or concerns that have not been resolved by staff or coaches.
    • To request an accommodation related to any WGB Policies
  5. Executive Director & Head Coach (executivedirector@whitehorseglacierbears.ca)

    • For club-wide operational concerns or questions regarding the overall running of the club.
    • To address urgent matters requiring executive-level attention or decision-making.
    • For high-level questions about general athlete development, club philosophy, or team-wide initiatives.
    • To request a payment plan.

When in doubt, talk to your athlete(s) primary coach - they will point you in the right direction
