Swim Meets & Events


Below is a breakdown of key processes and resources available to Whitehorse Glacier Bears (WGB) families as it relates to swim meets & events.

How to Sign Up for Swim Meets & Events:

  1. Log in to your WGB Pool Queue account.
  2. Click on the “Events” tab in the main menu. This will show all upcoming meets available for your swimmer.
  3. Locate the meet or event that you want to sign up for; click on the event name to open the details.
  4. Click the “Attend” or “Decline” button for each swimmer listed under your account.
  5. If needed, leave a comment for the coach (e.g., limited availability, travel plans, or event preferences).
  6. Be sure to click “Save” to confirm your attendance.
  7. You don’t choose individual races; WGB coaches will assign events based on swimmer readiness and meet strategy.
  8. NOTE: if your swimmer is registered for a meet but can no longer attend, notify the coach as early as possible. Once meet entries have been submitted, fees are non-refundable (even if your swimmer does not attend). Failure to notify before scratch deadlines may be subject to pay fees.

Travel Types

  1. Team Travel
    • All swimmers travel and stay together under the supervision of coaches and a designated chaperone(s).
    • Shared accommodations, meals, and ground transportation are organized in advance by WGB.
    • Costs for coaches and chaperones are shared equally among attending families.
    • Cancellations within 2 weeks of the event will still be charged the swimmer's share of meet fees and shared costs.
    • Flights are booked individually but timed to coordinate team arrival.
    • Any external funding (WGB or Swim Yukon) will reduce the final balance owed.
  2. OYO (On Your Own) Travel
    • Families handle all travel logistics independently, including flights, accommodation, meals, and supervision outside of swim sessions.
    • Parents are responsible for their swimmer at all times except when on deck.
    • Coach travel expenses are divided among attending families, less any funding received from WGB or Swim Yukon.

What WGB Covers

The Board of Directors votes on club-funded meet support based on the budget. Typically:

  • WGB covers coach expenses and swimmer meet fees for two designated “club priority” travel meets (e.g., Dino Cup, Christmas Cracker).
  • For all other meets, families share coach costs and are responsible for individual meet fees.
  • WGB also funds substitute coaches at home to continue local training while coaches travel.

Swim Yukon (SY) Contributions

Swim Yukon’s mandate is to support high-performance swimming and community programming. Funding support may include:

  • Coach expenses for National, and sometimes Provincial, level meets.
  • Local initiatives such as:
  • Christmas & Spring Break camps
  • Coach development and guest trainers
  • Meet and time trial support
  • Training equipment for WGB
  • Swim Yukon receives and manages funds on behalf of the club (e.g., Lotteries Yukon TAP grants).

Swim BC Support

For high-performance athletes, Swim BC may contribute to:

  • Travel and accommodation for invitational or provincial camps
  • Athlete development programming
  • Any additional costs are the responsibility of the family
